Education: Bachelor's degree relevant to the job

PREFERRED QUALIFICATION STANDARDS

Education: Bachelor's degree relevant to the job (preferably business management, public administration, computer secretarial, records management, or similar fields)

Experience: At least two (2) years experience in records management and monitoring systems

Training: At least eight (8) hours training on records management and/or monitoring systems.

 

ADDITIONAL REQUIREMENTS

  • Proficient in the use of Microsoft (MS) Word, Excel, and Powerpoint
  • Can communicate well in English (verbally and in writing)
  • Well organized
  • High level of integrity and commitment
  • Willing to work on extended hours

 

JOB DESCRIPTION

He/She shall be assigned as head of the Records and Monitoring Unit (RMU)-PPMD of the Procurement Service (PS) and will be under the direct supervision of the PPMD Chief.

As records and monitoring head, he/she will be primarily responsible for designing and implementing an effective records management system, for monitoring of procurement transactions, and for updating, maintenance and disposal of records, including overseeing of at least three (3) RMU staff.

Functions and Responsibilities:

                Records Management

  1. Develop and maintains a records management and monitoring system for the Procurement Service;
  2. Oversee RMU staff in implementing an effective and efficient records management;
  3. Review and supervise the classification of records, security of confidential documents and proper storage of all records for easy retrieval;

Monitoring

  1. Oversee and supervise the Tracking and Monitoring Officer for real-time updates or status of all RIS/PR or requests for procurement;
  2. Provide guidance to RMU staff on the proper manner of answering inquiries and follow-up of different End-users, Suppliers, and other clientele;

Updating, Reports Preparation, Records Disposal and other Tasks:

  1. Take the lead in the timely submission of statistical report of accomplishments, updates and other reports that may be required;
  2. Ensure proper disposal of old records in accordance with Records Disposal Guidelines;
  3. Do other tasks as may be assigned by the PS-Director.
